What do the students at Ohio University, Texas University, and University of Missouri students have in common with Yale and University of Illinois students? Their personal information has been exposed --by their own school.
Apparently colleges can be trusted to provide students with a well rounded education – liberal arts, math, science and now -- identity theft. With the prevalence of data breaches occurring in the college-environment, “student privacy” is wishful thinking instead of a reality.
Thousands of students are innocently put at risk and exposed to the possibility of identity theft because of the carelessness of universities. Over 80,000 have had their personal information exposed in the last three months due to mistakes of their school. These marks definitely don’t equal out to a passing security grade.
Student & Staff Responsibilities
Software is amply available to professors and administrators, yet it sits untouched as the information of their students is exposed. College students are especially vulnerable due to school loans, and with their thousands of dollars of debt, may not notice unauthorized activity on their credit report.
Universities typically store student information in databases, containing anywhere from 5 to 50,000 student names, addresses, and social security numbers. One mistake may expose thousands of students. As has been demonstrated numerous times, these databases are accessible – by the wrong people.
- In Conroe, Texas, a new employee at Montgomery College uploaded a database to a public drive that was accessible from all campus computers. The files contained private information (names, address, and social security numbers) of all the graduating seniors(1).
- In August of 2007, the University of Illinois mass emailed a database to 700 students. The document contained names, email addresses, majors, genders, races, addresses, and GPAs of over 5,000 students(2).
- The University of South Carolina exposed 1,482 student social security numbers, test scores, and course grades online (found through Yahoo search engine) through the actions of a university employee(3).
Even without the threat of hackers, human error clearly affected thousands of students, but it could just as easily have been prevented. Steps need to be taken to prevent these slip-ups by encrypting important files. By protecting files through encryption, information stays safe, even if mistakenly distributed or accessed.
Are Current University Policies Enough?
Universities have adopted a plethora of privacy policies to keep up with the evolution of technology. Professors aren’t permitted to post student grades using social security numbers as identifiers. Written consent is needed before grades and student records are released to third parties, or even parents. Student identification numbers are not permitted to be social security numbers in many states. University health centers and researchers are strictly required to follow HIPPA regulations. Many schools are even providing secure Wi-Fi networks [http://www.essentialsecurity.com/news.htm?pagename=Unsecured_Wi-Fi_Access:_Browse_at_your_own_risk] around campus. But what’s missing?
Universities aren’t encrypting files that contain sensitive information. The high volume of information contained in even a single student file, if leaked, creates a serious problem for the entire campus, and each student as a victim of a data breach.
An Incomplete Curriculum
Policies regarding protecting the electronically stored information of students are sparse at best. - Creating a policy regarding the protected transmission and holding of electronic student data on university servers and computers
- Encrypting files containing sensitive information to avoid accidental distribution problems
- Requiring laptops and portable devices containing student data to be protected at all times with tools like remote laptop security (which allows users to control file access on a computer even if it has been lost or stolen)
Making the Security Grade
Why aren’t schools protecting student information? Lost laptops and accessible files are contributing to the growing 9 million Americans that are victims of identity theft every year. Schools need to take responsibility for the handling of student information both within their networks and via employee laptops.
University-wide policies must be implemented [http://www.essentialsecurity.com/news_business.htm?id=1383] and followed regarding protecting student data. Regulations for the handling of sensitive information by individual professors also need to be established. By implementing security policies and using security software, campuses will be safer for students and reduce the risk of identity theft. Taking these proactive steps to protect sensitive data will inevitably put schools like Montgomery College, University of Illinois and the University of South Caroline on the Dean’s List, and make the security grade.

Hi, my friend's starting uni in Sept and it's her bday in August so thought I'd make her a 'student survival kit' for when she goes. So far I'm gonna put in it - student cookbook, earplugs (incase her halls are as noisy at 4am as mine were), attack alarm on a keyring, a little sachet of washing powder, USB memory stick/flash drive thing, shot glasses, alka seltzers and maybe a student diary. Any other ideas? What did you wish you'd had when you first arrived at uni?
